Getting started with Child Care assistance program (ccap)

We're excited to partner with you in bringing after-school enrichment to your child through Brains & Motion Education! If you plan to use the Child Care Assistance Program (CCAP) to help cover the enrollment fees, here are the steps to get started:

1. Applying for Assistance

Submit an Application for CCAP

Apply by filling out a form at the following link (https://www.getchildcareil.org/) and make sure to reference vouchers@brains-and-motion.com as the contact email address in your application.

On the CCAP platform, you're able to submit all needed documents, such as pay stubs, W2 or tax returns, class schedules, etc.

*Please note that CCAP approvals can take up to 90 days to process. We encourage you to apply as soon as possible to avoid delays.

2. submitting your details

Submit Your Information to Us

Once you’ve submitted your CCAP application, please complete the following Google Form right away so we can receive all of the necessary details to process your application and have your information on file.

The form will ask for:

• Your CCAP Confirmation Code
(received upon submission of the CCAP application)

• Parent/Guardian Name(s)

• Student Name

• Phone Number

• Email Address

• School Name

3. Approval review

Submit Your Approval Letter to Us

Once you’ve received your CCAP application approval letter, please upload a copy by clicking the button below and completing the short form with your details. This ensures we can verify your approval and match it to your existing application.

Once we’ve received and verified your approval letter, our team will reach out with a unique voucher code that you’ll need to use to complete your registration and finalize your child’s enrollment in the after-school program.

Got your approval letter and finished submitting all of your details? Here's what you need to know next:

  • Getting the approval letter does not automatically complete your enrollment.
  • Our team will carefully review your application and approval letter.
  • If everything is in order, we’ll create a unique voucher code and email it to you.

  • If you're a new family registering for the first time with BAM!

    Once you receive your voucher code, you can visit our website and use it to complete your registration and finalize your child’s enrollment with Brains & Motion Education.

  • If you're already enrolled in a BAM! school-year program

    Our team will reach out to you and make all necessary adjustments to your ongoing enrollment, according to the new financial assistance status you received.

Change of Provider

Already approved for another provider but want to switch to Brains & Motion Education? No problem! Simply complete the Change of Provider form by clicking the button below.

Financial Assistance FAQs

 I have my approval letter now — what’s next?

Congratulations! But getting the approval letter doesn’t automatically register your child. Please:

  1. Submit your approval letter to us - upload via our approval form
  2. You’ll receive a unique voucher code from us.
  3. Enter the provided voucher code in the discount code section at checkout on our website to complete your registration and enrollment.

Once those steps are done, your child will be officially enrolled we’ll officially enroll your child in the program.

Can I enroll my child for a non-school day program or camp?

Yes — often you can. If the program is at the same location already listed on your approval, you're good to go. If it’s at a different site, you’ll need to submit a Change of Provider (or “Add a Provider”) form, get that approved by your agency, and share the approval with us so we can coordinate registration correctly.

Did you receive my approval letter?

It’s possible the agency might send it to us directly, but to be safe, it’s up to the family to make sure we receive it. Use our Submit Approval Letter form to ensure we’ve got it. If you’re unsure, contact our team and we’ll check.

I’m currently paying full cost — should I already be eligible for assistance?

There are a few reasons this might happen:

  • We may not yet have your latest approval letter in our system.
  • You may have recently submitted for re-determination, and the new approval has not been processed yet.
  • Your prior approval might have expired if you missed the re-determination window.

If any of these apply, send us your updated approval documentation so we can adjust your status.

What is a re-determination, and when do I need to do it?

Re-determination is when your state agency periodically checks to confirm you're still eligible for assistance. Watch your approval letter for your end date, and contact your agency in advance to submit the required documents for renewal. If your approval lapses without re-determination, your care coverage may end until a new approval is granted — and you’ll need to send us that new approval letter.

What other discounts does BAM offer for enrollment if I do not qualify for state assistance (CCAP)?

We offer a 10% sibling discount code, which is automatically applied at the time of purchase when you enroll 2 or more students in the program.
